3 top coaching tips that work in the workplace

Increasingly, many managers are finding it difficult to motivate and develop their staff. As there exists many personalities and characters within a team on a working basis, it is not easy to determine how to obtain the optimal performance from a diverse group of personalities in a team.

Nevertheless, it is still the responsibility of the managers to build an environment so that the staff are motivated. Many managers discover that they are able to better coach their team members, they will receive results than other styles. Below are 3 coaching tips that will work and lead to better team performance.

1) Self assessment

When you ask your staff to assess their own performance against a set of pre-defined parameters and Key performance indicators, it helps them to identify where they currently stand, and helps them to take stock of their performance. Let them uncover areas that they know about themselves, give them opportunities to discover their own strengths and weaknesses and areas of growth and improvement as this will assist in encouraging personal responsibility and accountability on their personal working performance.

2) Inspire your team with a vision

Give your team worthwhile and meaningful goals, things that excites and you will see performance almost immediately. The keyword here is worthwhile and meaningful. Hence, there has to be goals, objectives that spice your team members up, otherwise a job is just a job and you can expect to receive only mediocre performance from your team.

3) Set challenging expectations but provide small milestones that encourage along the way

Just like driving, if it is a long straight road and the goal is so far away. It is hard to remain continuously motivated. Do provide intermediate milestones, quick win targets and celebrate them as this will keep your team members further motivated as they know they are a step forward towards success of reaching their bigger goals.

Tips for conducting on boarding program for new hires

We have recently rented our training room to a client who trained their new hires and we like to share some tips on this topic with our readers and clients

An effective employee training / on boarding program ensures that new hires are prepared in their new positions, giving them confidence and the resources they need. A good on boarding and well planned process will ensure that new hires know that they play an important role in the organisation.

It also minimizes employee turnover, align the values and goals of the organisation and help to save managers’s time training the new employee. This article contains five tips on training new hires.

1. Incorporate Different Training Methods during the on boarding presentation

As an on boarding program usually comprise of all ranks in the program, it is important to know the profile of your audience. Do consider incorporating a variety of content during your training example, slide shows, power point presentations, employee handbook, hands on activities. This will help to ensure that all of the employees regardless of their proficiency in any language can grasp the intent of the program. If your presentation is in English, do consider developing your presentation in other languages or have a translator present to explain to the audience who needs assistance.

2. Communicate the objectives of the program at the start and at the end of the program

This will help the new staff to understand what the trainer will be speaking about and also help them to refresh their memory. Importantly, help the new staff to know what they are supposed to understand at the end of the orientation program.

3. Develop Practical Training program

Do not overwhelm your new staff with excessive information on the very first day. If there is too much information to share with new joiners, it is encouraged that you convince the respective department heads to make it into a two days program etc and it will translate into long lasting benefits for the department. Take note also not to scare the new joiners with overwhelming information that they are frighten off on the first day of work. One possible way of doing is to invite the respective department heads to sit in your program so that they are convinced that a one day program is insufficient and acknowledge the benefits of the program.

4. Have some fun

While it is important that the new joiners understand the objectives and know as much about the organisation as possible, understand that it is unrealistic to overdo it. It is important that the new hires make new friends across various departments and making them feel engaged and motivated. Hence, conduct your program well but have some fun!

Course Evaluation Checklist

As a trainer, besides our passion to impart our knowledge and help people grow or excel, how do you know whether you are doing good enough?

As the saying goes, what gets measured gets improved. How do you measure your training effectiveness? We encourage the use of a course evaluation checklist. What it does is that it allows your participants to talk to you, to feedback what went well, what went wrong in your presentation or training. Below are some questions that are good to ask your participants for their feedback. We also encourage that you keep the evaluation anoynmous as this will be a true test of your performance.

If you are doing an in house workshop for your client, the course evaluation checklist is often also used by the training department to understand the course, its effectiveness and whether its objectives are met. Most of the times, the objective of such in house workshops or training is that the employee must be able to do better at their work.

Some of the metrics that course evaluation form uses are yes/no questions. While some metrics used are very poor, poor, average, good, very good and excellent.

This article will share more about yes and no questions.

  • Is the content constructed based on job tasks?
  • Are steps or actions to take detailed and broke down into clear instructions?
  • Is the material tailored to the seniority and/or experience level of the participants?
  • Has the “by the way” information been minimized?
  • Is more than one third of the training session spent on the content presentation?
  • Is more than two third of the time spent on the allowing the participants to effectively apply the information?
  • Are adult learning concepts built into the course?
  • Is the pace of the course good?
  • Is the course properly structured?
  • Does break up group exercises simulate the tasks and bring across the learning points?

How do you keep track of your participants and add value to them?

It is not an easy task keeping track of participants to your seminar or training if you do not have an organised way of keeping track. For example, how many has turned up, has not turned up and whether to make the decision whether to wait for more participants to come or wait for more to arrive.

While you can rely on your intuition with the room capacity being filled, still this is not a very good gauge and there are also some good reasons for keeping track of your participants attendance.

We recommend the old school method of just printing out the excel spreadsheet and let the participants sign when they arrive. Don’t tick but sign as some participants are fond of ticking for their friend or partner and this will disrupt your accuracy.

With a signing in sheet, it gives you benefits especially when your seminar room is full but some participants tried to walk in. As mentioned, we must always give priority to those who signed up online or have been following your blogs etc.

There are few benefits for both organizer and participant adopting the sign in sheet.

1) This helps the participant to ensure that he is at the right place/ seminar. It is not uncommon that several seminars take place together at one venue and the participant went to the wrong seminar that he did not sign up for.

2) It helps the organizer to ascertain the number of participants attending the seminar. Sometimes, if the participant has typed in the wrong email address or other personal information, it is also a good time during the sign in to correct the mistake.

3) Some trainer will send some freebies to the emails of the participants who attend the seminar to thank them for their time. Without a sign in sheet, the organizer has no means to find out who did physically came for the seminar. It will not look good for the company if they state they will only send to those who attended but sent to everyone in the sign up sheet even those who did not attend on that day.

If you have enough space to accommodate walk in guests, do not forget to leave blank space at the below of the paper so that the walk in guests can write their names and means of contacting them. This is your potential leads to sales!

In summary, your client database is your lifeline in business and people who took time to come attend your seminar deserve to be rewarded with your freebies or useful resources. Segregate those who genuinely are interested in your business from those and those who sign up for fun and you should be able to close deals more easily.

Tips for placing your sales counters during your seminar

If you are holding seminars which have products or offers for the participants to buy at the end of the seminar, if your seminar that you are holding falls in such a category, perhaps the following tips about about placement product and also tips to convince and persuade more of your attendees to purchase and not walk away without any sales purchase.

It is often quite common that after a seminar is done, many seminar operates are unable to hit their sales target. One of the reasons is that there is a lack of a proper and structured presentation of the offer delivery.

The number one thing to do is to increase the visibility of your product or offer. If it is not visible, it will not attract any attention and how to attract sales? If it is for tangible products, the physical product can be placed but if it is for selling of courses, then perhaps you should place a prominent sales booth with registration form, pamphlets and sales representatives.
Secondly, the placement must be convenient to your participants. It will be apt to place your counter or table with the offers near the entrance/exit doors of your venue. That is, a location that no one can miss when they enter and exit (especially).

The sales pitch usually occurs at the end of a seminar or presentation. For offering of courses, it is usually done by the speaker during the last part of his presentation.

In such instances, the speaker might ask for a show of hands for those who are keen. Another option is to inform the participants to approach the staff at the counter directly who are keen. Sometimes, giving a first ten sign up offer might work. For the first ten who sign up, the price or offer will be much more attractive than the rest. However, somehow this method seems to be over used in recent years and is not as effective as last time.

For physical products that you wish to sell, a table with a nice table cloth will be good for your presentation. Remember, the essence of doing so is to place the sales counter at a very prominent place where no one can miss (usually at the entrance or exit). Make sure your sales counter has all the necessary equipment set up to make it hassle free for people to purchase. For example, NET terminal and you should also know where is the nearest ATM machine if your client needs one.

While these tips seem ordinary, but are often neglected by many as they are too insignificant to take note of yet, they have a place to play in your sales figures.

Should You Rent or buy your office which encompass your Training or Seminar room?

If you are a small company in the training business, e.g. internet marketing, speaking, motivational programs, you will likely one day faced with the opportunity or decision whether to purchase your own training or seminar room as opposed to rent a seminar room or training .

There’s no hard and fast rule but this article provide some factors which you might want to consider. Also, one more thing to add before we proceed is this article focuses on business owners who have already settle in and already have a positive cash flow.

Consideration of the Costs of Buying Your Office – Opportunity Costs
Buying an office will need a big amount of upfront capital. Are there any expansion plans upcoming which require a huge amount of capital? Because an office or training room purchase requires a huge outlay of capital. Bottom line, consider the opportunity costs of tying up your funds in the purchase.

Do You Plan to Grow or Shrink Your company?
Companies with employee numbers which fluctuate or who plan to increase headcount may find renting the better option as the size of working force is yet to be fixed. Making a decision to purchase an office or training room may be not appropriate until your headcount required for your business is more or less determined for the next 3-5 years.

Have you found a suitable location?
Consider the dynamics of your current office location as compared to the location which you wish to purchase. It is not surprising that some employees might not be willing to move over together to the new office in view of the inconvenience. Hence, you might also seek the opinions of your staff to have a feel

Do You Plan to Move?
Is your business currently located to your current clients which gives you an edge in doing business? If so, you might want to re consider. Also, if you want flexibility you should rent.

How do You Define Peace of Mind?
You should also think about whether to purchase or rent your office to hold your training program depending on how you define peace of mind.

For some, peace of mind equals knowing that you will be in the same office paying a fixed mortgage and you are not held ransom to rent increases by landlords. Possibly, there may also be capital appreciation. However, for others, peace of mind may mean that they do not have to spend time troubling themselves with maintenance issues and can rely on someone to fix any issues that arise along way of the lease. In addition, there is also flexibility to shift offices whenever he wants.

What colors should you choose for your training or seminar room?

Everything little thing count during a seminar, training or meeting session or event. The effects may be seemingly insignificant yet are important as it will form a good or bad impression on you when your clients hold their seminar or event at your training premises. Not surprisingly, colors do affect the image that one wants to project, and that image can actually be formed when your participants first step into the training room. Hence, it is important to choose the right colors so that the impression formed is a positive one.

Typically, the following colors depict different meanings and I would recommend at the end which color should you choose and reason why.

  • Natural colors (cream and beige)
Denotes corporate and more serious type of businesses such as financial advisers, lawyers, accountant etc. As this color will project a image of being safe but boring and dull but steady.
  • Pink – Pink gives a sense of tranquility.
  • Blue
Projects confidence, wisdom, honesty and loyalty. Hence, businesses associated with these traits should consider using this color.
  • Green
Projects calmness, growth and security and to indicate prestige, status and wealth – dark green is also a favorite color.
  • Navy blue and burgundy
Projects responsibility, control and gives confidence to clients.

In general, accessory is also important in addition to the colors. For example, adding wood grain finishes to natural colors is a good mixture to a sophisticated feel and look for lawyers’ offices.

As a general guideline, the brighter the color, the less serious is the business. And it really depends what business you are in.

For training and seminar rooms, it is recommend to use light colors or Turquoise as these colors helps in inducing a good learning environment where participants are comfortable to share and encourage retention of knowledge.

Yellow is also a popular color used in training or seminar rooms as it stimulates the brain cells during learning, builds concentration and will help in retention. However, do not overdo it by having large pieces of yellow in your walls as it may be counter productive. Some yellow in the trainer’s background will do for example, the white board, a slice of the wall in yellow will be more than enough. Yellow should be used sparingly, a tinge of it is good enough not too much of it as it can be overwhelming.

Tips to protect and lengthen the life of your carpet in the training room

In our training and seminar room, we chose to lay carpet as after doing our research, it can be one of the easiest types of flooring to maintain. If you are like us who chose carpet for your flooring, below are some tips to take care of the carpet so that the carpet will continue to look good over time. A simple care and cleaning program is involved though, however definitely worth it

Place a walk off mat outside your entrance
By doing so, this will help to cushion the amount or minimise the dirt, sand, oil that comes into your training room when your participants come into the room. You should also do periodic cleaning of the mat as it can, over time be a source of dirt collection point.

Vacuum often
You will be amazed by how your carpet will look if you just give it twice vacuum per week. If you choose to ignore all of the tips, perhaps this is a good tip you should follow. This is because dirt, soil, moisture from the shoes of people who enter into your training room will seep into the carpet, damaging the fibres of the carpet over time.

Move heavy furniture occassionally
With heavy furniture ‘crushing’ over a particular area, this can really damage the carpet over time. Hence, it is good that the particular area of carpet have a ‘breather’ from the heavy weight of the furniture.

Protect carpet when moving heavy stuff
When you want to move heavy furniture across the carpet, be sure to place a protective layer of cardboard or plywood between the heavy furniture or its wheels and the carpet. You generally have to treat the carpet as a fragile piece of material and protect it accordingly.

Do not allow food and drinks
This sometimes can be seen as not customer centric, however as the owner of the training room, I think you will agree that once anyone spills food or drinks in your room, it will cause you alot of time, heartache to get it resolved. In fact, most of the times, it will be very difficult to put it back in original position again. Also, it may smell due to insufficient or improper cleaning of the carpet. This is also one of the cons of using carpet. If you own and rent out your training rooms, try not to compromise on this, I have personally seen a participant drop an entire packet of chicken rice on the carpet. Just imagine how it will feel..Ouch

Do not drag the chairs and tables when you do your set up
We do not excessively drag the tables or chairs across the room along the carpet as this will definitely damage the carpet over time. That said, i think minimal is fine as it can get really tiring when you lift the tables and chairs continuously. If you wish to see how we configure our seminar room seating arrangement or continue to receive speaker tips from us, stay tuned!
