Tips to protect and lengthen the life of your carpet in the training room

In our training and seminar room, we chose to lay carpet as after doing our research, it can be one of the easiest types of flooring to maintain. If you are like us who chose carpet for your flooring, below are some tips to take care of the carpet so that the carpet will continue to look good over time. A simple care and cleaning program is involved though, however definitely worth it

Place a walk off mat outside your entrance
By doing so, this will help to cushion the amount or minimise the dirt, sand, oil that comes into your training room when your participants come into the room. You should also do periodic cleaning of the mat as it can, over time be a source of dirt collection point.

Vacuum often
You will be amazed by how your carpet will look if you just give it twice vacuum per week. If you choose to ignore all of the tips, perhaps this is a good tip you should follow. This is because dirt, soil, moisture from the shoes of people who enter into your training room will seep into the carpet, damaging the fibres of the carpet over time.

Move heavy furniture occassionally
With heavy furniture ‘crushing’ over a particular area, this can really damage the carpet over time. Hence, it is good that the particular area of carpet have a ‘breather’ from the heavy weight of the furniture.

Protect carpet when moving heavy stuff
When you want to move heavy furniture across the carpet, be sure to place a protective layer of cardboard or plywood between the heavy furniture or its wheels and the carpet. You generally have to treat the carpet as a fragile piece of material and protect it accordingly.

Do not allow food and drinks
This sometimes can be seen as not customer centric, however as the owner of the training room, I think you will agree that once anyone spills food or drinks in your room, it will cause you alot of time, heartache to get it resolved. In fact, most of the times, it will be very difficult to put it back in original position again. Also, it may smell due to insufficient or improper cleaning of the carpet. This is also one of the cons of using carpet. If you own and rent out your training rooms, try not to compromise on this, I have personally seen a participant drop an entire packet of chicken rice on the carpet. Just imagine how it will feel..Ouch

Do not drag the chairs and tables when you do your set up
We do not excessively drag the tables or chairs across the room along the carpet as this will definitely damage the carpet over time. That said, i think minimal is fine as it can get really tiring when you lift the tables and chairs continuously. What do we do when we turnover our training and seminar room for our clients?

Having or renting your own training or seminar room is wonderful but it does come with responsibilities for you as the tenant or even as the trainer or speaker of a particular event. As mentioned in earlier do’s and don’t article, agreement helps all parties to properly take care of the training space. Keeping the training room clean will help reduce any unnecessary conflicts between the landlord and the tenant.

Like to share our experience of turning over the room for a client and what are the things we do before we hand over to the client to ensure that the state and condition of the room is impeccable.

The Day before the event
We will sms or contact the client to confirm his required room arrangement and the number of persons attending the event. Many times, as the client books the room way before his event, the room seating arrangement and number of persons expected to turn up for the event might change. In fact, we recently had a client told us that his sign ups just rocketed on the day of his event.

Housekeeping & Maintenance
For health, safety, and pest control reasons, we always endeavor to keep our training room spick and span condition. We regularly checked for stains in the carpet (*touch wood*) and also vacuum the carpert so that it is clean when our client takes over the room. It is strongly recommended that tables, chairs and carpets be cleaned thoroughly on a regular basis. Cleaning on a regular basis will actually help you avoid excessive and difficult cleaning at the end of the year and unnecessary cleaning charges.

Check for repairs
We conduct regular checks on our equipment especially after one client finishes using the room and another check before we hand over to the another client. We endeavour to provide the best customer experience to all of our clients and we do not hope to have any conflict or misunderstanding that arise. If repairs are needed in the training room, we make sure we fix it so that the next client can use it with a peace of mind.

Cleaning Procedures
We regularly clean our tables and chairs and we recommend non-abrasive cleaners, liquid detergents. Be sure to always follow the instructions on the label. Do it regularly and you will not find it difficult to keep your chairs and tables clean. This is part of showing our respect and appreciation that we give to our clients.

Tips to gather feedback on your presentation

Many trainers feel that the longer the presentation is the better it is, but this is incorrect. Importantly, it is to deliver your message in the swiftest, with most impact and engaging way. Duration doesn’t count so much if you can achieve the earlier elements.

Feedback Form
Have your participants fill up a feedback form. In the form, you can consider giving your participants rate you on contents, engagement, delivery and what can be done better. As much as possible, using rating scale instead of requiring them to write (except for 1 or 2 questions) as requiring them to write too much may turn people off and drop your feedback altogether.

Calling and thanking your audience for their time the next day
If you are extremely serious about improving your presentation, call your participant up the next day and ask them how did they like your presentation. Take the opportunity to reinforce your expertise, seek to clarify any doubts but be honest that you need more practice in your presentation skills. Be sincere and ask for their feedback, this method usually works best and people can sense your sincerity and let you know on ways to improve. While this method is the best, it is most time consuming and not every participant will entertain you.

However, novice presenters should try out this most effective method as this is the fastest way for you to improve. Of course, you must be open and receptive to
feedback, even though you receive negative ones. Remember if people take the way to give you feedback, it shows they care and are helpful and at least they bother.

Tips to handle participants or guests who unexpectedly turn up for your event?

As part of your company’s image, it is important to be prepared for guests who unexpectedly turn up at your event. ie people who turn up without prior registration. How should you deal with such situation(s) so that your company  remain professional and fair to those who made a prior registration?

Preparation for Extra space
One of the best ways to manage for unexpected turn ups is to prepare before hand. In addition to the registered participants, you may wish to put in a slight buffer of 10-15% for people who turn up without registration or invitation.

For example, if you have 20 pax who registered for your event, just factor in 10% i.e. arrange for 22 pax seating arrangement with your training room rental company. You might not wish to over buffer as do not forget this might mean extra cost to you since you may have to cater for a bigger training or seminar room. Also, not all who have registered – will turn up especially if it is a free seminar or event. Hence, 10-15% is a good gauge.

Be helpful and fair

Be polite
Having said that, you might not neglect the comfort level of your participants who signed up and already comfortably seated, you do not wish to make them uncomfortable. If the space is really constrained and not feasible to accommodate the unexpected guest, then you will have no choice but to politely turn him or her down. However, do take the initiative to share when is the next preview, take down particulars and volunteer to register or follow up with him or her for the very next preview.
