What do we do when we turnover our training and seminar room for our clients?

Having or renting your own training or seminar room is wonderful but it does come with responsibilities for you as the tenant or even as the trainer or speaker of a particular event. As mentioned in earlier do’s and don’t article, agreement helps all parties to properly take care of the training space. Keeping the training room clean will help reduce any unnecessary conflicts between the landlord and the tenant.

Like to share our experience of turning over the room for a client and what are the things we do before we hand over to the client to ensure that the state and condition of the room is impeccable.

The Day before the event
We will sms or contact the client to confirm his required room arrangement and the number of persons attending the event. Many times, as the client books the room way before his event, the room seating arrangement and number of persons expected to turn up for the event might change. In fact, we recently had a client told us that his sign ups just rocketed on the day of his event.

Housekeeping & Maintenance
For health, safety, and pest control reasons, we always endeavor to keep our training room spick and span condition. We regularly checked for stains in the carpet (*touch wood*) and also vacuum the carpert so that it is clean when our client takes over the room. It is strongly recommended that tables, chairs and carpets be cleaned thoroughly on a regular basis. Cleaning on a regular basis will actually help you avoid excessive and difficult cleaning at the end of the year and unnecessary cleaning charges.

Check for repairs
We conduct regular checks on our equipment especially after one client finishes using the room and another check before we hand over to the another client. We endeavour to provide the best customer experience to all of our clients and we do not hope to have any conflict or misunderstanding that arise. If repairs are needed in the training room, we make sure we fix it so that the next client can use it with a peace of mind.

Cleaning Procedures
We regularly clean our tables and chairs and we recommend non-abrasive cleaners, liquid detergents. Be sure to always follow the instructions on the label. Do it regularly and you will not find it difficult to keep your chairs and tables clean. This is part of showing our respect and appreciation that we give to our clients.

Last but not least, as it is coming to the year end, we have also prepared our End-of-the-Year

Should you scent your seminar room?

If you recall your visits to hotels, resorts or even property show flats today, in additions to the greet and meet by the door staff who make you feel welcomed, the elaborate decoration, the level of luxury and service professionalism of the staff, you most likely would also recall that many of the hotels, resorts today exhibit a special scent in the location.

Besides the usual decoration, professionalism and service level of the staff, the sense of smell has also been used to hopefully create a powerful connection with the guests. In fact, the brand and environment of the hotel, resort can be greatly enhanced through the use of scent.

Why? Facts of Fragrance
The human sense of smell plays an important role in memory. Scent receptors in the nose connect directly to the section of the brain responsible for memory and emotions.

In current times, owners and managers of hotels, property/car show flats, would do anything to give their brand an edge, in hope of encouraging sales or repeat visits. As the gaps between competition tighten and consumers demand a higher level of quality’experience’ during their visit or stay,

How has the scent got to do with your training event or seminar?

Before you rent a seminar room or decide to hold your event at a particular place, do make a visit and see and ‘smell’ the seminar room for yourself. While photos may tell a thousand words, we have our fair encounter of deciding on a place to hold our event before going down to personally see and smell for yourself. This may not be a right step to take.

Do not let a seemingly small thing affect the experience of your participants. If the seminar room smells or reek of foul smell, then this will inevitably affect your seminar or even a factor for some of your participants to leave early.

Depending on the type of event you are holding, scents from lavender (relaxing), peppermint (energizing) can also be used during your training, you will definitely stand out as a trainer who knows how to use the power of scent to help you in your training or seminar event.

Perhaps, this might also cause brand loyalty to be increased by allowing your participants to develop an emotional connection with your training or brand that you are promoting.

Tips to gather feedback on your presentation

If you are an entrepreneur just starting out to give talks, conduct previews etc, it makes good sense to rent a training room or seminar room on an use per pay basis rather than renting your own training room permanently as this means a commitment of at least $3-$6000 per month depending on the location and size of the room. As business owners, entrepreneurs and presenters, it is imperative that you know how well you did for your presentation especially for newbies, as your presentation could make or break the sale. Regardless of how good one is, the presentation gives your audience the perception of your skills or whichever product you are marketing. If you have done well, keep it up and look for ways to improve. If you have not done so well, find out why and IMPROVE on it. Hence, here the tips to know if you did well during the presentation

Facial Expression
As a trainer, it is important that you have a good sense of how your participants are reacting to your speech. Are they attentive and earnestly listening to you or are your audience yawning away or talking among each other, than focusing on your presentation. While this can be quite demoralizing, do not despair and take this as a lesson to improve on your presentation. If you are the kind of presenter that do not know what is happening on the ground due to your focus, try to make it a point to do so or get your assistant to help you gauge the participant’s response.

Walking Out
Have a measure of how many participants walk out halfway during your presentation. If it exceeds 20%, this is not a good sign as they have made time for your event yet they want to walk out without hearing your whole message. From experience, you should look at your marketing collateral – make sure they are attracting the right audience, examine if your presentation is too repetitive? Many trainers feel that the longer the presentation is the better it is, but this is incorrect. Importantly, it is to deliver your message in the swiftest, with most impact and engaging way. Duration doesn’t count so much if you can achieve the earlier elements.

Feedback Form
Have your participants fill up a feedback form. In the form, you can consider giving your participants rate you on contents, engagement, delivery and what can be done better. As much as possible, using rating scale instead of requiring them to write (except for 1 or 2 questions) as requiring them to write too much may turn people off and drop your feedback altogether.

Calling and thanking your audience for their time the next day
If you are extremely serious about improving your presentation, call your participant up the next day and ask them how did they like your presentation. Take the opportunity to reinforce your expertise, seek to clarify any doubts but be honest that you need more practice in your presentation skills. Be sincere and ask for their feedback, this method usually works best and people can sense your sincerity and let you know on ways to improve. While this method is the best, it is most time consuming and not every participant will entertain you.

However, novice presenters should try out this most effective method as this is the fastest way for you to improve. Of course, you must be open and receptive to
feedback, even though you receive negative ones. Remember if people take the way to give you feedback, it shows they care and are helpful and at least they bother.

Tips to handle participants or guests who unexpectedly turn up for your event?

As part of your company’s image, it is important to be prepared for guests who unexpectedly turn up at your event. ie people who turn up without prior registration. How should you deal with such situation(s) so that your company  remain professional and fair to those who made a prior registration?

Preparation for Extra space
One of the best ways to manage for unexpected turn ups is to prepare before hand. In addition to the registered participants, you may wish to put in a slight buffer of 10-15% for people who turn up without registration or invitation.

For example, if you have 20 pax who registered for your event, just factor in 10% i.e. arrange for 22 pax seating arrangement with your training room rental company. You might not wish to over buffer as do not forget this might mean extra cost to you since you may have to cater for a bigger training or seminar room. Also, not all who have registered – will turn up especially if it is a free seminar or event. Hence, 10-15% is a good gauge.

Be helpful and fair
As far as possible, do try to cater a seat, or writing materials, resources to the person who did not register if you can.

But you will have to be fair to those who taken the time to register, hence you should not deprive those who have registered their seats/materials and give it to guests who did not register.

Ask the guest if he or she minds standing if they don’t have a seat. If space permits, arrange for standing space rather than disappoint the guest. This might mean some re-arrangement of tables and chairs but it might be worthwhile as you are portraying a good image for your company, even though it might mean some inconvenience.

Be polite
Having said that, you might not neglect the comfort level of your participants who signed up and already comfortably seated, you do not wish to make them uncomfortable. If the space is really constrained and not feasible to accommodate the unexpected guest, then you will have no choice but to politely turn him or her down. However, do take the initiative to share when is the next preview, take down particulars and volunteer to register or follow up with him or her for the very next preview.

Tips to decide whether you should adopt a workshop or seminar style presentation

As a trainer, one of the main consideration is the delivery of your message. Your message can be delivered in many different ways to your audience. There is no best method but your decision will be based on the topic you present, demographic of your audience and also participating numbers. These few factors will mainly determine the way you get your message across and preferably retain it in the memories of those you have presented to.

There are mainly two kinds of presentation. First, a seminar and second, a workshop style. There are pros and cons to both types of presentation styles and there is no one size fits all model, however the following paragraphs should help you along with adopting the right approach for your presentation.

Seminar style presentation usually is more one way as compared to workshop style. Therefore, there will be less participation by the audience as you as the speaker will be trying your best to get your points across within a certain time frame. Usually, a seminar style seminar does not involve any discussions, activities and the attention is fixated on the speaker. Of course, the time to interact is usually at the end of the session where there is usually a Q and A session to clarify any doubts or handle any questions that the participants might have.

In contrast, workshop style presentation is usually more hands on, involves much more hands-on activities and allows you as the speaker to interact and engage more with the participants. For example, this can be in the form of learning a certain skill like computer, internet marketing etc. There is usually more bonding in workshop styled presentations.
For workshop style presentation, most providers usually minimally charge a nominal fee to cover their expenses like room rental, and also imparting a certain skill set to the participants.

In summary, deciding on the presentation style must take into consideration the objective of your presentation, size of the class, demographics and whether you are opening up to the public or enclosing it to a small community to impart a certain skill set. You also have to take into consideration the amount of time you have for each presentation and whether it is a weekday or weekend also might affect your training.

Do’s and Don’ts of Seminar Room Rental

Like our training room, our seminar room also has certain do’s and don’ts. We at TrainingroomSG like to keep our seminar room and training rooms at tip top condition, clean and well maintained because we believe this will help us to attract and retain clients who think and believe our philosophy like we do. As trainers ourselves, we have earlier rented from many different providers and now when we finally have our own seminar and training room, we know how cleanliness and the condition is plays a part in the success of our events.

After all, no trainer likes to train in a unclean, unkempt environment as the seminar room is actually the very second impression the trainer gives to his participants, the first being the location of the seminar room.

DO’S AND DONT’S

  • No drinking and eating in the seminar or training room. Plain water is allowed but please be careful to avoid spillage.
  • No smoking in the room

Tips to anticipate and answer questions as a speaker

A seminar can go wrong if you did not prepare sufficiently. One of the best ways to consider yourself well prepared for the seminar is when you have anticipated the questions that will likely be asked by the audience and coming up with answers and pointers to support your argument. This will give you the confidence to ask your audience if they have any questions about your presentation or product. If answered well, this will also give confidence to the rest of the participants who are in the seminar and let them form a good impression on you and importantly your product or service you are selling or promotion.

Some of the ways to garner questions to prepare are from your family members and family
You should always do a few times of dry run with your friends or family and invite them to pose questions or clarify things that you have not sufficiently elaborated on. Invite your family and friends to give you critic and help you to improve. This is the pool of people whom you can trust and rely on. Many times, the same questions that are post by your family and friends can be the same as the ones that your audience may post it to you. Hence, do adequate research on questions that you are unfamiliar with and take the questions of your family and friends seriously.

Know both the benefits and disadvantages of your product and services
Always try to illustrate the benefits of your product and try to minimise time discussing on the disadvantages of your product. However, when you are asked, never be dishonest to your audience and make claims which are untrue.

If you do not know the answer, be upfront and be candid about it. If you wish to take extra effort, let the participant know that you will get back to him after checking for the answer.

Whenever you open the floor to your audience, it is quite usual that you have audiene that disagree with some the points that you have made earlier. Do not put anyone down even if you know that he/she is not as good in your knowledge as you. But politely let the participant know that this is your opinion after research and of course he is also entitled to his/her opinion. Lastly, thank the participant for his question and feedback.

Tips to select your topic when you organise a seminar

In recent years, we can see that there is an influx of both paid and unpaid seminars taking place in Singapore. These range from educating the public on finance, investments in stock, currencies, property and internet marketing. Without a doubt, there are more successful ones compared to the rest i.e. better participation rate or sign up or take up rate. Therefore, what are the secrets to selecting a good topic so that your seminar will be successful? The first factor is topic selection

Subject Matter Expert
By being subject matter expert, this means that you have been in study for a particular topic for a consider number of years. As Malcolm Gladwell put it, it should be about the range of 10,000 hours of study before you can become good at a particular subject. This will also mean that you have chalked up sufficient experience and knowledge and mistakes along the way. Interestingly, many audience would like to listen to speakers who are ‘human’ ie those that have failed, learn relearn and picked themself after. Hence, if you have such a story to tell, it will help you to captivate your audience and sometimes this could even relate to them. If you are not experienced enough, make sure you equip yourself with enough knowledge as this might affect your branding in the market.

Value Add
Do not let your participants feel that they have wasted their time in attending your seminar. Be sincere and know enough to impart knowledge to your participants. Afterall, they have took time to come listen to you and it is good that you teach them something practical and not only a sales pitch on your product or course. For example, if you are holding a property seminar, you can share the market trends, current interest rates and yield of different housing areas and urban planning of Singapore or population growth to illustrate potential of certain areas. Sincerity sells and convince your potential clients!

Call To Action
Make sure you end your seminar with a call to action. If you like people to sign up for your course, at the end of the seminar, show the benefits of joining your class and let them make a decison. Do not let your participants leave your seminar room not knowing what you are presenting and selling. This would be a waste time for both parties.

Tips to rehearse your presentation

The success of a seminar lies on the the trainer or speaker. It is the trainer’s responsibilty to deliver an engaging, memorable and unforgettable session for the audience. Ample preparation is actually the key to determine the success of your presentation. Here are some tips for your presentation

Preparation
The number one rule is to prepare. Regardless of how many times you did your presenation before, always remember not to enter into your event without any preparation. Even if you are highly experienced, you should at least do one round of dry run. This is so that you are kept aware of the timing of your slides, and all the succint points. Missing out on some points can be crtical as to your event success. And this will lead to the disappointment of your participants

Prepare, Prepare and Prepare
For speakers who tend to suffer from stage fright and get jittery, actually all it needs to rehearse more and familiarise yourself with your materials. Do consider inviting your friends and family members to review your presentation and ask for your honest feedback. After which, act on the feedback to further improve your presentation.

Tools
Use a laser pointer to direct your audience to the points that you want them to. Remember that they are unable to read your mind and will need a visual aid to direct their focus. Also, having less than 3 points per slide will be good otherwise it may lose your participant’s focus. Usually, keep the presentation to less than 10 slides too depending on your type of event.

What time should you hold your seminar or training event?

Timing is to imperative to the success of your event as it directly affects your participant’s turnout. The timing should be catered according to the target audience which you like to attract. The different types of audience and their respecitve timing are as follows:

Students
Let’s start with the students. You will have note that students usually spend the whole day in school and can stay till as late as late evening like 5-6pm due to CCAs or tuition classes for example. In fact, this is one of the toughest group to target if you are not working with schools for their schdule. Hence, if you are attracting a general student crowd for your seminar, perhaps holding it at about Saturday noon time, about 2pm will be good. Even if the students have CCA to attend on saturday, it should likely end by 12pm. Sundays are out as students will usually spend time with family, friends and prepare for school next week.

Housewives
Holding a talk for this group is a no-no in the morning as they will have to send their children to school, perform household chores, marketing etc. Hence, a good timing for this group will be about 2-4pm on weekdays (not weekends). Later evening seminars for this group may not work too as they usually need to rush back to fetch the children from school, cook etc.

Office Workers
This group is the most busy of the lot but their timing is actually more predictable. The typical working hours for an average working adult is between 8am – 6pm. If you take into consideration the travelling time to your event location, dinner etc, a good timing to start your seminar would be about 7pm -7.30pm. Refrain from starting your event too early or later than the recommended timing as it will likely put off a large majority of the target audience. For example, if you start a seminar at 6.30pm and a typical worker ends his work at 6pm. Given only 30min to travel to your event location, this will likely discourage him from making the effort to turn up despite registering for it. Weekends (mainly Saturday) can be a double edged sword as some people like to switch off totally and rest. If you prefer to hold it on Saturday, consider holding it at about 2-3pm at a central location so that they can continue their shopping activities etc.
